Certificate of Employment (Template Included)

This article aims to answer some of the common questions related to the Certificate of Employment.

What is Certificate of Employment?

This is a certificate given to employees upon resignation/separation from the company. It can also be given to employees upon request.

What are the information needed in the Certificate of Employment?

Here are the information usually included in the certificate of employment.

  • Name of the employee
  • Position
  • Start and end of employment

Some information may also be provided depending on the purpose of the certificate. Some require salary information, complete job description and other information.

In case of the certificate intended to be use in claiming SSS, PHIC or HDMF benefits, information about their SSS, PHIC, HDMF contribution/deduction including OR numbers of the payment may also be required. This certificate is also called Certificate of Contribution.

What is the purpose of the certificate of employment?

The main purpose of this document is to prove that the employee is employed in the company. That’s why it is often not accepted by the receiving party if the certificate is not signed by the issuing employer or HR. Employees normally submit this certificate to their next employer as part of the requirement for employment.

When to issue the certificate of employment?

For separated/resigned employees, it is normally released together with the final pay and other documents. For employees that are still employed, the certificate of employment must be given within three(3) days from the time of the request. Please refer to Labor Advisory 06-20

Who are qualified to receive certificate of employment?

All employees are qualified to receive a certificate of employment either via request or upon separation from the company regardless of the manner of separation (resigned/terminated/AWOL).
